Initial Steps

  1. Create your Eventzee account and at least 1 trial event -- if you haven't already, follow the directions in this article: How to Access the Admin Portal (Scroll down to "If You Haven't Created An Eventzee Account Yet:")
  2. When you are ready to turn your trial event into a real event, get in touch with an Eventzee representative: https://eventzeeapp.com/contact/


How to Edit Event Details

  1. Navigate to the Admin Portal. If you need a refresher on how to do that, check out How to Access the Admin Portal.
  2. Click [Event] to manage the details.

General

  1. Enter an event title.
  2. Enter a text description explaining what the event is about.
  3. Upload a cover photo (1024 x 500 px recommended) for the event.
  4. Adjust the width-to-height ratio of the cover photo if needed.


Features

  • Disable Group Chat - this hides the entire Chat Tab in the Social area.
  • Disable Player 2 Player Chat - this removes the ability for players to message each other directly. 
  • Disable Feed - this hides the entire Feed Tab in the Social area AND will not save any photos or videos from the event.
  • Can only share own feed entries - this removes the [Share] button from other players' feed entries.
  • Hide Feed - this hides the entire Feed Tab in the Social area, but will still save all photos and videos to the event (unlike the "Disable Feed" option above), which can be downloaded via the Approved Submissions and Data Report tabs.
  • Hide Leaderboard - this hides the entire Leaderboard Tab in the Social area, but allows admins to see the total scores in the admin area.
  • Leaderboard Size - this limits the Leaderboard to only show the top N scores.
  • Random Challenge Order - this will scramble the order of the challenges for each player.
  • Disable Guest / Anonymous Users - this requires users to create an Eventzee account (which allows their e-mail addresses to be collected) to join the event.
  • Public Places Map - this activates a link to the Places map which can be viewed without logging in to the Eventzee app.
  • Challenge List Background Images - this allows all challenges to show a background image.


Availability

Start and End Times

  1. Click on the Calendar Icon.
  2. Set the date and time the event should start.
  3. Set the date and time the event should end.

Note - the date and time shown is local to your current location.

Whitelist

  1. Check "Use Whitelist" if you would like to limit the event to certain e-mail addresses.
  2. If you checked "Use Whitelist", click the [EDIT LIST] button below the checkbox.
  3. Manually enter in e-mail addresses in a comma-separated list and click the [+] button on the right, or click [UPLOAD CSV] to import a .csv file.
  4. After you click [UPDATE] at the very bottom of the page, the next time you click [EDIT LIST] you will see the list of e-mails you've added beneath the [UPLOAD CSV] button. You can click the trash can icon next to an e-mail address to remove it from the Whitelist.


Time Limit

  1. By default, this is set to 0, which means players can take all the time they need to complete the challenges (within the bounds of the start and end dates you set for the event, of course!).
  2. If you would like players to have a limited amount of time to complete the challenges, enter the amount of time you would like, in seconds.
    1. The timer for the player starts immediately upon joining the event, and there is currently no way to stop it.
    2. Players with Admin status are technically also subject to the timer, but due to their status they are ultimately unaffected by it and will be able to edit the event as needed.


Share

This is the information people will see when players share the event by text, email, etc.

  1. Enter the title of the share message.
  2. Enter a text description of the share message.
  3. Enter the URL the share message should link to.


Leaderboard Banner

  1. (Optional) If you'd like to display an image at the top of the leaderboard, upload an image here.
  2. Adjust the aspect ratio of the image to preview how it will appear in the app.


Join QR Codes

  1. Click [ADD QR CODE] to create a new code
  2. Enter the code you want players to type in order to join the event.
    • Codes are case sensitive. You may add additional codes for flexibility, if desired.
  3. (Optional) Alternatively, players may also scan the QR code to join the event quickly. Click [Download] to download the file onto your computer.
    • The QR Codes are designed to work with our app and are based on the text code you entered in to the left of it. 
    • If the QR Codes are scanned outside of the Eventzee app (i.e. with the device's default Camera app) it will link to the Eventzee Website. 
    • If you would like a QR Code that will link to your event website, please reach out to an Eventzee team member and they will generate one at no additional cost.


Save Changes

  1. Once you're all done filling out the details for your event, click the blue [UPDATE] button at the very bottom to save all your changes.
    1. Make sure the button is greyed out after you've clicked it -- if it's still blue, that means your changes haven't been saved!


WARNING - RESET PLAYER DATA!

  • Using this option will clear all the event data, including everyone's progress on their challenges and all content from the Feed, Chat and Leaderboard.
  • This will allow you to test all your event challenges using the app and then reset everything before the event actually goes live.
  • DO NOT USE THIS OPTION IF AN EVENT HAS ALREADY STARTED!
  • NOTE - Using this option will NOT reset any bonus timers for quizzes, but rest assured they will still work for players who are completing the quiz for the first time on their device! If you would like to verify that the timer is still working after resetting the event, please uninstall and reinstall the app fresh, then login to your account and try to start the quiz again.
